Administrator guide
This page is for Administrators: Client Administrators setting up and running a tenant, and Super Administrators helping with initial configuration. It summarises what an Administrator manages, a recommended order for setting up a new tenant, and where to find the detail on each admin screen.
What an Administrator does
Section titled “What an Administrator does”A Client Administrator holds almost every permission in your tenant: creating and managing Users and their roles, Entities, Assessments (including cloning and customising them), Standard Sets, the Question Library, scheduling and assigning assessments, and reporting. A Client Administrator can also create and manage other Client Administrators; the rule is that nobody can assign a role more privileged than their own, so only a Super Administrator can create another Super Administrator.
A few areas are Super Administrator only by default: the REM settings, Compliance Frameworks and Vendors modules, and billing. A Super Administrator holds every permission in the tenant and is not technically restricted from viewing or changing client data.
Recommended setup order
Section titled “Recommended setup order”There is no single required order in the product, but this sequence avoids rework when standing up a new tenant or a new part of your programme:
- Set up Entities and your organisation structure. Create the Entities (the things you assess) before you build assessments, so you have somewhere to assign them. See Entities and organisations.
- Set up Users and Roles. Add your Users and check that the Roles they need (Responder, Reviewer, and any manager or custom roles) have the right permissions. See Users and Roles and permissions.
- Build out your Question Library and Standard Sets. A Standard Set supplies the maturity or compliance labels used by answer options, and is required when you create an assessment; the Question Library lets you reuse questions across assessments instead of writing them from scratch each time. See Question Library and Standard Sets.
- Build the assessment. Create the assessment, add sections and questions (from the library or from scratch), and configure Additional Fields (Parameters) if you need structured data collection. See Creating an assessment and The Assessment Builder.
- Assign the assessment to Entities, then to Users. An assessment is assigned to one or more Entities first, then Responders and Reviewers are assigned to each assessment-entity pair from the Dashboard. See Assigning an assessment.
- Schedule it. Set the open and close windows, and decide whether the assessment repeats (Check & Update, Re-assert, Full Reassessment). See Scheduling assessments.
- Monitor progress. Use the Dashboard to track status and completion, and Email Manager to review or adjust the reminder emails Responders and Reviewers receive. See the Dashboard and Email Manager and notifications.
- Report. Pull results together for stakeholders using the reporting tools. See Reporting.
